Privacy Policy
Hank Traders Pty Ltd (ABN 76 703 379 882) respects your privacy and is committed to protecting your personal information. This policy explains how we collect, use, store and disclose personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). It applies to all interactions with Hank Traders Pty Ltd, including through our website at hanktraders.online, by email and in the course of our wholesale trading and distribution activities.
1. Who we are
Hank Traders Pty Ltd is a Melbourne-based wholesale trading and distribution business. We supply goods to businesses across Australia and coordinate sourcing, freight and fulfilment on their behalf. For the purposes of the Privacy Act, Hank Traders Pty Ltd is the "APP entity" responsible for the personal information we hold.
2. The kinds of personal information we collect
Depending on how you engage with us, we may collect and hold:
- business contact details, such as your name, position, business name, email address and delivery or billing address;
- details of your enquiries, requests for quotes, orders, purchase orders and instructions;
- information necessary to process transactions, such as billing and payment records (we do not store full card details on our systems);
- correspondence you send to us, including emails and attachments;
- website usage information, such as pages visited and the type of browser or device used; and
- where relevant to a commercial engagement, information you voluntarily provide about your business requirements.
We do not ordinarily collect sensitive information (such as health information or information about beliefs or affiliations). If you choose to provide sensitive information to us, we will only handle it in accordance with the APPs.
3. How we collect personal information
We collect personal information in a number of ways, including:
- when you submit a form on our website, such as through our quote request or contact pages;
- when you send us an email, such as to ceo@hanktraders.online;
- when you place an order, negotiate supply terms or correspond with our team about a transaction;
- when we meet with you or your representatives at your premises, ours or a third-party site; and
- from third parties you direct us to, such as your authorised representatives, freight partners or referrers, where it is unreasonable or impracticable to collect the information directly from you.
Where it is lawful and practicable, we will also give you the option of dealing with us anonymously or using a pseudonym. This may not always be possible, for example where we need your delivery details to fulfil an order.
4. Why we collect, hold, use and disclose personal information
We collect, hold, use and disclose personal information so that we can:
- respond to enquiries and prepare and send quotes;
- process orders, arrange freight, distribution and delivery, and keep you informed of order status;
- manage our supplier, customer and contractor relationships, including credit and account administration;
- issue invoices, receipts and statements, and manage payments and debt recovery;
- maintain accurate business records and comply with our legal, tax and regulatory obligations;
- improve our website, services and business processes; and
- send updates or marketing communications where you have consented or where permitted by law.
We will only use or disclose personal information for the primary purpose for which it was collected, or for a related purpose you would reasonably expect, unless you consent to another use or an exception under the Privacy Act applies.
5. Disclosure of personal information
We may disclose personal information to third parties where reasonably necessary for the purposes set out above, including:
- freight carriers, warehousing and logistics providers engaged to deliver goods on your behalf;
- suppliers, manufacturers and trading partners involved in sourcing or fulfilling your orders;
- professional advisers, such as accountants, auditors and lawyers, and our information technology and communications providers;
- payment processors, financial institutions and debt collection agencies; and
- government bodies, regulators or law enforcement agencies where required or authorised by law.
We do not sell or rent personal information. Any disclosure is limited to what is reasonably necessary, and we take reasonable steps to ensure that recipients handle personal information in a manner consistent with the APPs.
6. Overseas disclosure
Some of the service providers we use, including cloud hosting, email and logistics-related services, may be located outside Australia or store data on servers located overseas. Before disclosing personal information to an overseas recipient, we take reasonable steps, in the manner required by APP 8, to ensure the recipient does not breach the APPs in relation to that information. Details of the countries involved can change over time; if you would like current information, please contact us using the details below.
7. Direct marketing
We may send you commercial electronic messages, such as product updates or offers, where you have consented or where the message is permitted under the Spam Act 2003 (Cth) and relevant privacy laws. Every marketing message we send will include a simple way to opt out. You may also opt out at any time by emailing ceo@hanktraders.online, and we will action your request promptly and free of charge.
8. Quality and security of personal information
We take reasonable steps to ensure that the personal information we collect, use and disclose is accurate, up to date, complete and relevant. We also take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. These steps include access controls, secure storage, limiting access to personnel who need the information to perform their duties, and secure destruction or de-identification of personal information when it is no longer required for a permitted purpose, subject to any record-keeping obligations under Australian law.
9. Access to and correction of your personal information
You may request access to the personal information we hold about you, or ask us to correct information that you believe is inaccurate, out of date, incomplete, irrelevant or misleading. To make a request, please email ceo@hanktraders.online with enough detail for us to identify you and the information concerned. We will respond within a reasonable period. There is generally no charge for access or correction, although we may charge a reasonable fee where the request is complex; we will tell you if that is the case before proceeding. If we refuse a request, we will give you written reasons and information about how to complain.
